How to choose the best CRM for your company in India
There is no single best CRM, only the one that fits how your team sells, where your leads come from and what you can spend per user. Here is what to check, how seven popular CRMs compare, and when to build your own.
What a CRM has to do for an Indian SME
In most Indian companies, leads arrive from five places at once: the website form, WhatsApp, IndiaMART, phone calls and email. If they land in five inboxes, some are never answered. The first job of a CRM is to put every lead on one record, with an owner and a next step.
- Capture leads without copying and pasting. Website forms, WhatsApp chats, marketplace enquiries and missed calls should create or update a lead on their own.
- Assign and chase. Round-robin or territory rules, reminders, and an alert when a lead has waited too long.
- Quote in a GST-ready format, so the quote and the invoice that follows carry the same details.
- Work on a phone. Field sales and owners on the move need to log calls and visits as they happen.
- Report by source. Which channel brings the deals you actually win, not just the most enquiries.
- Keep data where you need it, with access controls you can explain to a customer or an auditor.
Most CRMs connect to the WhatsApp Business Platform, either directly or through a messaging provider. Ask which one, what the messaging charges are, and whether chats are stored on the lead. WhatsApp’s Business Messaging Policy allows you to message people only if they have given you their number and agreed to hear from you, so build an opt-in step into your forms.
IndiaMART
IndiaMART offers paid sellers two ways to send leads to a third-party CRM. The Pull API returns leads in JSON when your system asks for them at set intervals, and its key expires if it goes unused for seven days. The newer Push API sends each lead as it arrives. Ask your vendor which one they use, and who fixes it when it breaks.
GST-ready quotes
A quote is not a tax invoice, but it should carry what the invoice will need under rule 46 of the CGST Rules: your GSTIN, the customer’s GSTIN if they are registered, the HSN or SAC code, the tax rate and amount, and the place of supply. If your aggregate turnover is above the e-invoicing threshold (₹5 crore at the time of writing), your invoices must also carry the QR code with the invoice reference number. Usually the CRM makes the quote and your accounting system issues the invoice.
Where your data lives
The Digital Personal Data Protection Act, 2023 does not require personal data to stay in India: the government may restrict transfers to countries it notifies (section 16), and stricter sector rules still apply. It does require you, as the Data Fiduciary, to use a CRM vendor only under a valid contract (section 8). The DPDP Rules, 2025 add minimum security safeguards such as access control, logs and backups (rule 6). Most of those duties apply from May 2027, so choose a CRM that can already meet them.
Seven CRMs compared
These seven come up on most Indian shortlists. We implement five of them (Zoho CRM, Salesforce, HubSpot, Microsoft Dynamics 365 and Freshsales) and build custom CRMs, so read this as a working view, not a ranking. Prices change often, so the table shows how each one is priced; check the vendor’s India pricing page before you budget.
| CRM | Good fit for | Strengths | Check before you buy | Pricing model (October 2026) |
|---|---|---|---|---|
| Zoho CRM | Small and mid-sized teams watching cost per user | Free edition for three users; prices in rupees; an India data centre | Features are split across editions: CPQ and inventory, for example, start at Professional | Per user per month, billed monthly or yearly, in four paid editions; GST extra |
| Salesforce Sales Cloud | Larger sales teams with complex processes | Deep customisation and a large partner and app ecosystem | The India pricing page lists prices in US dollars; most editions are billed yearly; you usually need an admin or a partner | Per user per month: Starter and Pro suites, then higher editions |
| HubSpot Sales Hub | Companies where marketing and sales share the same leads | Free tools for up to two users; marketing, sales and service on one platform | No India data centre listed; cost rises with every paid seat and hub you add | Free tier, then Starter, Professional and Enterprise seats, billed monthly or yearly |
| Freshsales | SMB and mid-sized teams selling by phone, email and chat | Phone, email and chat from the first paid plan; prices in rupees | Branded documents are a paid add-on, so check how you will send quotes; confirm your account’s data region | Per user per month on Growth, Pro and Enterprise; 21-day free trial |
| Microsoft Dynamics 365 Sales | Companies already on Microsoft 365 | Built to work with Microsoft 365, including Outlook and Teams; India region available | Higher per-user cost than most CRMs here; paid yearly; usually set up by a partner | Per user per month, paid yearly: Professional, Enterprise and Premium; GST extra |
| LeadSquared | Teams handling large volumes of inbound leads and field sales | Lead scoring, duplicate blocking and lead distribution; a mobile CRM app | The pricing page shows no free plan; ask which hosting region your account uses | Per user per month on Sales Pro and Sales Super, bought through sales |
| Odoo CRM | Companies that also want sales orders, invoicing and stock in one system | CRM alone is free on Odoo Online; an open-source Community edition you can host yourself | A second app moves you to a paid all-apps plan; Studio and the external API need the Custom plan | One app free, then Standard or Custom per user per month |
Where each one can keep your data
- Zoho: lists an India data centre; the country you choose at sign-up decides where your account lives.
- Salesforce: says its Hyperforce infrastructure has been in India since 2020; confirm that every product you buy runs in the India region.
- HubSpot: lists data centres in the EU, Canada, Australia and the United States, not India.
- Freshworks: lists India among its data centre regions; pick it when you sign up for Freshsales.
- Microsoft: Dynamics 365 environments can be created in an India region, if your Microsoft tenant is in India.
- LeadSquared: hosts on Amazon Web Services across several regions; ask which one.
- Odoo Online: its Middle East & Southern Asia region runs production in India or Saudi Arabia, with backups in Europe and Canada that cannot be moved. You can also host Odoo on your own servers.
When a custom CRM makes sense
In most cases, start with an off-the-shelf CRM: configured properly, it covers the usual sales process for a licence fee per user. A custom CRM is worth a look when:
- Your process is unusual. Quotes, contracts, site visits and service tickets all hang off one customer record, and no product models that without heavy workarounds.
- Licences cost more than building. A large team on per-user pricing can pay more over three years than a CRM built once and run on your own hosting.
- The data has to stay with you. A client contract or a regulator needs the data in your own database, region or cloud account.
- The CRM is part of your product. Your customers or partners sign in to see orders, quotes or tickets.
Custom has its own costs: you pay for hosting, security updates and every change. A middle path often works best: an off-the-shelf CRM plus a few custom integrations, such as a WhatsApp flow or a quote approval tied to your ERP. Our CRM development team does both, and starts with a short paid discovery that ends in a written plan and a fixed estimate. A selection checklist
Shortlist two or three CRMs and test each one against the same list, with your own data and your own salespeople.
- Do leads from the website, WhatsApp, IndiaMART and calls arrive on their own, with the source recorded?
- Can a salesperson log a call, a visit and the next step from a phone in under a minute?
- Do quotes carry GSTINs, HSN or SAC codes, tax rates and place of supply, and do they flow to your accounting system?
- Can managers see the pipeline by stage, owner and source without exporting to Excel?
- Where is the data hosted, who at the vendor can see it, and what does the data processing agreement say?
- What does the plan you need cost for your team over three years, including add-ons, messaging charges and GST?
- How do you export all your data if you leave, and in what format?
- Who will set it up, train the team and fix it after go-live?
Trial each CRM with real leads before you sign. One that slows your salespeople down will not be used.
Implementation, step by step
- Map how you sell todayStages, who owns each step, what counts as a qualified lead, and which reports managers need every week.
- Clean your dataDe-duplicate spreadsheets and old systems, agree which columns become which fields, and drop what nobody uses.
- Configure, not customiseUse the CRM’s own settings for stages, fields, roles and rules; write code only where the process needs it.
- Connect the channelsWebsite forms, WhatsApp, IndiaMART, telephony, email and your accounting system, tested with real enquiries.
- Pilot with one teamTwo to four weeks with one sales team, then fix what slowed them down.
- Train everyoneShort sessions by role and a one-page guide for each, with a named person to ask.
- Go live and reviewSwitch off the old spreadsheet on a fixed date, then review usage and data quality at 30, 60 and 90 days.
Common mistakes
- Buying on the feature list. Most CRMs can do most things; what matters is whether your team will use it every day.
- Leaving it at the defaults. If stages and fields do not match how you sell, salespeople keep a second spreadsheet.
- Forgetting the channels. If WhatsApp and IndiaMART leads still arrive on someone’s phone, the CRM shows half the picture.
- No owner. Someone inside the company has to own the CRM: who gets access, which fields are required, which reports are true.

Common questions
What is the best CRM for a small business in India?
It depends on how you sell and your budget. Zoho CRM and Freshsales often suit small Indian teams watching cost, HubSpot suits teams where marketing and sales share leads, and Odoo suits companies that want invoicing and stock in the same system. Trial two or three with your own leads.
Zoho CRM or Salesforce: which is better for an Indian company?
Zoho CRM usually costs less per user, prices in rupees and has a free edition for three users. Salesforce is more customisable and suits larger teams with complex processes, but it prices in US dollars and bills most editions yearly.
Does a CRM have to store data in India?
Not in general. The DPDP Act lets the government restrict transfers to countries it notifies, and some sector rules are stricter. If you prefer Indian hosting, Zoho, Freshworks, Microsoft, Salesforce and Odoo Online all offer an India option.
Can a CRM capture leads from WhatsApp and IndiaMART?
Yes. Most CRMs connect to the WhatsApp Business Platform directly or through a provider, and IndiaMART offers paid sellers a Pull API and a real-time Push API for sending leads to a CRM.
Should we build a custom CRM?
Usually not at first. It makes sense when your process is unusual, when per-user licences for a large team cost more than building, or when the data must live in your own systems. Many companies pair an off-the-shelf CRM with a few custom integrations.
